Before replacing business software, rehearse getting your data back

A software demonstration usually shows the smooth path through a task. Your organization also needs to handle corrections, staff absence and unusual requests. Write down one process from beginning to end, including where records arrive and who approves a change. Use that description to guide the trial instead of accepting the vendor’s default workflow as your requirements.

Test an export you can use

Create fictional records, attachments and relationships, then export them. Open the result without the vendor’s software. Can you understand the fields, identify linked documents and explain the meaning of a status? A button labelled export is less useful if essential context is missing. Ask what additional help or charges apply when leaving the service.

Assign ownership of access and recovery

Document who can add accounts, grant permissions and remove access when someone leaves. Keep a separate recovery procedure for the people administering the system. The organization should know who receives security notices and who decides what to do with them. These responsibilities remain necessary even when infrastructure is managed by a supplier.

Rehearse a small disruption

Choose a realistic interruption, such as an unavailable administrator or a failed integration, and walk through the response. Record the contacts, the information needed and the temporary way of working. Check whether staff can find that procedure when the main platform is unavailable. Use the trial to expose operational gaps while the consequences are still manageable.

Research context

NIST’s Cybersecurity Framework offers resources to help organizations understand and manage cybersecurity risk. It provides context for asking how responsibilities and outcomes are organized, rather than treating software purchase as the entire security plan. Read the NIST Cybersecurity Framework for the source material.
